A spreadsheet template with the right columns, free to download, and an honest note on when a spreadsheet stops being enough.
A spreadsheet is a perfectly good way to start an asset register. For a handful of machines and one careful owner, it works. This template gives you the columns that matter so you do not have to invent them, with three example rows to copy the format from.
It opens in Excel, Google Sheets or LibreOffice. No email address required.
What the columns are for
Asset tag is your own reference, written on a label on the device. Serial is the manufacturer's, and is the field that lets you match records against warranty lookups and device management later. Status stays useful if you keep it to a short fixed list: in use, in storage, repair, retired. Location and assigned-to answer the two questions you will be asked most. Purchase date, cost and warranty end are what finance and budget planning need.
When the spreadsheet stops being enough
Every spreadsheet register fails the same way: it is only right on the day someone updates it. The signs are familiar. Two people edit two copies. A leaver keeps a laptop nobody chased because no date field chased it. The auditor asks who had a device in March and the history does not exist. New machines are enrolled in Intune but never make it to the sheet.
None of that is fixed by better spreadsheet discipline, because the problem is that a spreadsheet cannot chase anyone and cannot fill itself in.
The same columns, in a register that updates itself
This template is deliberately shaped like the Tagaris CSV importer: when the spreadsheet stops being enough, the file you have been keeping imports straight in, with a dry-run preview before anything is written. From there the register keeps itself current: devices sync in from Microsoft Intune and Jamf, renewals are chased by a daily email, every change keeps a dated history, and printed QR labels make a room auditable from its doorway. The free tier has no asset limit, so moving off the spreadsheet costs nothing.
