Tagaris for schools and colleges

A self-hosted register for a device fleet spread across sites, rooms, staff and pupils, with loans, term-end audits and refresh planning built in.

A school's kit lives in rooms as much as with people: a class set of laptops in a trolley, the projector in a lab, a staff device that goes home. The register has to answer where a device is now, who had it last, what is due for replacement before the next budget round, and what the auditor asked for. Tagaris is built around locations and people equally, so both questions have a home, and it runs on the school's own server with the data under its control.

The jobs it covers

Fleets by site and room

Locations form a tree: a site, its buildings, the rooms inside. Every room has a page listing what should be in it, and asset counts roll up to the site, so a whole-campus total is one glance.

Assigned to people or rooms

An asset can be assigned to a member of staff, to a pupil, to a room, or to a person at a location. People are records, not logins, so a pupil roster costs nothing and can be imported from CSV.

Loan devices

Check a device out to a person and back in when it returns, with the history kept on the asset. Chargers, cases and headsets are accessories checked out the same way. See check-out and audits.

Term-end audits

Print QR labels for rooms as well as devices. The stock-take workflow confirms what is actually in a room and records the audit on each asset, with a last-audited date the asset list can filter on. The iOS app does the same label by label.

Refresh planning

Set a replacement age per category, or per asset. Devices past it are flagged on the dashboard and in the daily digest, alongside warranties expiring, so the refresh list writes itself before budget season.

Enrolled devices from Intune or Jamf

Devices already in Microsoft Intune or Jamf sync into a review queue, matched by serial number, so the register does not depend on retyping. Free while in beta.

For the IT team

On the free tier the register belongs to one administrator. Team plans add logins for the rest of the team with Admin, Editor and Viewer roles, so a technician can update records without reaching settings, and office staff can look up a device without changing anything.

Team plans also add single sign-on with Microsoft Entra ID. Roles map from Entra app roles or group IDs, and the school can require single sign-on for everyone except the local owner account, which stays as the break-glass login.

Evidence for governors and auditors

The built-in reports cover assets by status, category, location and person, warranties and licences due, value with straight-line depreciation, disposals over the last twelve months and value by location. Each exports to CSV and prints. The whole register exports to CSV, and a full organisation export to JSON covers every record. All of that is on the free tier, so an answer for the finance committee is a download rather than a project. Disposal is a workflow rather than a delete: the date, method, proceeds and book value at disposal stay on the record.

Questions

Do pupils and staff need accounts?

No. A person in the register is a record an asset can be assigned to, not a login. Only the IT staff who sign in use a seat, so a school with two technicians and two thousand pupils needs two seats, or one on the free tier.

Can the register be filled from a spreadsheet?

Yes. The CSV importer maps your columns to the fields and runs a dry-run preview before anything is written, with presets for Snipe-IT and Halo exports. People import from CSV too, or from Microsoft Entra ID in the free beta.

What does it cost?

The free tier is the full register for one administrator with no asset limit. Team plans are priced by the number of people who sign in, and are on the pricing page, with a free 30-day trial.
