Software licences, domains and renewals

Record each licence and domain once, with its seats, cost and renewal date, and let the daily digest do the remembering.

What you record

A software licence has a name (M365 Business Premium, say), a seat count, a cost and a renewal date. A domain is the same kind of record marked as a domain, with the registrar noted, so example.com and its renewal sit alongside the subscriptions that depend on it. There is no limit on how many you keep, and both are in the free tier.

Where the date goes to work

A renewal date feeds the daily digest, the calendar feed and the Software and domain renewals report, which lists everything renewing in the next 90 days. Set the date once and it turns up in each of them. Hardware warranties follow the same route; the asset lifecycle page covers those.

The daily digest

Every install, free or paid, can send a digest each day of what needs attention. It goes out once per organisation, never one email per item, through whichever email transport you have set up: SMTP, Microsoft 365 or Google Workspace.

  • Software licences and domains due for renewal
  • Warranties expiring
  • Assets past their replacement age
  • Accessories, components and consumables below their minimum quantity
  • API keys approaching their expiry date
  • Your own Tagaris licence, the single sign-on client secret, and any expiry recorded on an integration credential

By default an item is flagged 90, 30 and 7 days before its date. The thresholds are yours to change in the Alerts tab in Settings, each one fires once per item, and a run-now button sends the digest immediately so you can check the format. Beyond the inbox

Slack and Microsoft Teams

The Alerts tab can post the digest's findings to a Slack or Teams incoming webhook, so the channel that owns renewals sees them without anyone forwarding an email.

Calendar feed

Tagaris publishes a calendar feed of upcoming renewal and replacement dates that Outlook or Google Calendar can subscribe to. Each date is an all-day event with a link back to the record.

Jira tickets (Team)

With the Jira integration connected, each digest that fires can also raise one issue carrying the same items, so renewals land in the service desk queue. One ticket per digest.

Renewal reports

The Reports page has built-in reports including Warranty expiring and Software and domain renewals, both covering the next 90 days. Open one to read it, export it to CSV or print it. They are in the free tier, alongside the rest of the built-in reports.

On Team plans the report builder filters the register on your own terms and picks the columns, and scheduled reports email a summary of changes and upcoming renewals weekly or monthly, with a send-now button to check the format.

In the free tier or Team?

Licence and domain records, the daily digest, the Slack and Teams webhooks, the calendar feed and the built-in reports are all in the free tier. Team plans add the custom report builder, scheduled email reports and the Jira ticket per digest. See pricing.

Questions

How far ahead does the digest warn?

By default 90, 30 and 7 days before a renewal or warranty date. You can change the thresholds in the Alerts tab in Settings. Each threshold fires once for each item, so a warning does not repeat every morning.

Does the digest need a Team licence?

No. Every install, free or paid, can send it. It needs an email transport configured in Settings: SMTP, Microsoft 365 or Google Workspace.

Can I track domain renewals as well as software?

Yes. A domain is recorded with its registrar and renewal date and is treated like a licence in the digest, the calendar feed and the Software and domain renewals report.
